SAYON

Terms of Service

Last updated: 1 November 2026 · Version 3

These terms are the agreement between you and us for using SAYON. "We", "us" and "SAYON" mean the business that runs SAYON (details below). "You" means the timber pest inspector or inspection business that signs up. If you sign up for a business, you confirm you are 18 or over and allowed to agree to these terms for that business. SAYON is for business use only.

Who we are

SAYON is a business name of a sole trader, ABN 39 394 267 144, based in Barrack Heights NSW, Australia. You can contact us at the email address at the end of these terms. The contract is with the sole trader who holds that ABN.

What the app is

SAYON is a web app that helps inspectors record findings during a property inspection and produce a report, quote, agreement, treatment record and certificate. It is a drafting tool for licensed professionals. It doesn't carry out inspections, doesn't detect pests or damage itself, and doesn't replace your own professional judgement. Reports are laid out to follow AS 4349.3 and AS 3660.2, but whether a report meets a standard is up to you.

Your responsibility for reports

The app uses AI to turn your spoken notes into report fields and suggested wording, to read compliance plates and check photos, and it looks up addresses and the weather for you (see the Privacy Policy). Any of these can be wrong: AI can mishear, leave out detail or get things wrong, and a lookup can return the wrong place or conditions. You must check every part of a report, quote and certificate before you sign it and send it. You are responsible for the accuracy and completeness of everything you issue.

You also remain responsible for following the relevant Australian Standards, your licence conditions, and any other law that applies to your work, including telling your clients how their information is handled.

Spoken notes are for your own notes. Don't use the app to record conversations with clients or other people without their consent. Recording private conversations without consent is against the law in several states.

Your clients

SAYON isn't a party to the contract between you and your client. You are responsible for the wording of your pre-inspection agreement and quotes. If you change the agreement text, keep a notice in it that tells your client how their information is handled.

When a client signs or answers on the link you send, SAYON records the name they type, their signature, the type of browser and the time. It doesn't check who they are or whether they have authority to sign (for example, as owner, tenant or agent). That is for you to confirm.

You collect your clients' information and decide what goes in each report. We store and process it only to run the app for you. We only look at it to help you with a support request you've asked for, or when the law requires it. If a data breach affects your clients' information, we will tell you promptly, and we will help you answer a client's request to see or correct their information.

Your account and who can use a plan

Keep your sign-in details private. You are responsible for activity under your account.

The business owner is responsible for the people they add to the team and for their use of the app.

Plans, trial and payment

AI fills and fair use

One AI fill is one job the AI does for you: filling in the report and quote from what you said, filling in the agreement or treatment record when you tap Say it instead, reading a compliance plate from a photo, or checking a photo. Listening while you talk doesn't count.

Cancelling and refunds

You can cancel at any time in Menu › Billing › Manage. Your plan stays active until the end of the period you have already paid for and isn't renewed after that. We don't give refunds for part-used periods. If you are charged by mistake or twice, we will refund it. Nothing in these terms limits any right you have to a refund or other remedy under the Australian Consumer Law.

Acceptable use

Don't use the app to store or process information you aren't allowed to hold, to interfere with or reverse-engineer the app's systems, to share a login between people, to get around the AI fill or email limits, or for any unlawful purpose.

Your data, and ours

You own the inspection details, photos, reports, quotes and other documents you create in the app. You give us permission to store and process them only so we can provide the app to you. The Privacy Policy explains which services we use to do that.

We own the app itself, including its software, design and wording. You may use it for your business while you have an account.

You can save a copy of your reports at any time from Menu › Settings › Download a copy. If your plan ends, your saved reports stay in your account and you can still sign in to view and download them. You can permanently delete your account at any time from Menu › Settings › Delete my account. If an account has no sign-in for 24 months, we will email a warning and delete it 30 days later unless you sign in.

Availability and changes to the app

We work to keep the app available, but it may sometimes be unavailable for maintenance or because a service we rely on has an outage. We may improve or change features over time. If we remove a feature that is central to your plan, we will tell you in advance and you can cancel.

Suspending or closing accounts

We may suspend or close your account if you don't pay, if you seriously or repeatedly breach these terms, or if your use puts the app or other users at risk. Where it's reasonable, we will tell you first and give you a chance to fix the problem. If we close your account, you will have at least 30 days to download your data, unless the law prevents it.

If we stop offering the app altogether, we will give you at least 60 days' notice and refund any amount you have paid for time after the closure date.

Consumer guarantees and liability

The app comes with guarantees under the Australian Consumer Law that can't be excluded. Nothing in these terms excludes, restricts or changes those guarantees or your rights under them.

Where the law allows us to limit our liability for a failure to meet a consumer guarantee, our liability is limited to supplying the service again or paying the cost of having it supplied again.

Otherwise, to the extent the law allows:

These limits don't apply to loss caused by our fraud, wilful misconduct or gross negligence.

Changes to these terms and prices

We may update these terms or our prices, for example when we add features or the law changes. We will tell you at least 30 days before a change takes effect, unless the change is needed sooner for legal or security reasons. If a change leaves you worse off and you cancel because of it, we will refund the unused part of the period you've paid for.

How we contact you

We send notices to the email address on your account, or show them in the app.

Governing law

These terms are governed by the laws of New South Wales, Australia, and the courts of that state have jurisdiction.
